Criteria and Process for Document Acceptance
Individuals who submit a document for inclusion in the MERC resource library will be required to attest that the document meets the following minimum criteria:
- The document is relevant to migrant education community (see explanation below).
- The document is complete and in its final form.
- The document is basically free of spelling, grammatical and mechanical errors.
- The document does not contain inappropriate language about individuals or institutions.
- The document includes appropriate citations and credit from and outside source.
- A document written in a language other than English includes a complete English translation.
Slides, spreadsheets or other non-text materials include an accompanying text. All registration and submission information as detailed in the Information Sharing Plan, including a summary or abstract have been provided.
It is important that administrators posting such files as PDF, MS-Word etc. devise a policy for ensuring that all content of this nature is accessible. Examples of accessibility features within MS-Word and PDFs include (but are not limited to) the use of tags and styles to denote structure (such as in tables) and the use of alternative text to label graphics. Relevance to Migrant Education
Materials included in MERC must meet the selection standard of being directly related to the field of migrant education. The collection scope will include documents that address MEP requirements and services. For example, the collection will include:
- Administrative documents (i.e., plans, reports, and manuals) dealing with topics such as comprehensive needs assessment, service delivery objectives, identification and recruitment, project administration, student assessment, program evaluation, parent advisory councils, and management information systems;
- Documents such as training materials and program-produced strategies for instructional and supportive services for migrant children from early childhood education through high school graduation;
- Interstate and intrastate program coordination;
- Innovative uses of educational technology;
- Parental involvement materials;
- Lists of resources and directory information.
Upon submission of a document, MERC will briefly examine the documents for compliance with the selection criteria. Once reviewed and accepted by MERC, the contributor will receive an acceptance e-mail. As a reminder, States and those that submit documents to the library are ultimately responsible for their relevancy and quality.
